A roster with sizes becomes one order to your supplier and a payment link per family. The coach sees a paid-and-unpaid list rather than an envelope of cheques, and nobody at the club is handling anybody's card details, which is exactly where the awkward conversations used to come from.
The bench is a real department
Service is what keeps a specialist shop alive against the big boxes, and it is the part most retail systems cannot describe. A ticket with a technician, a promised time and a collection state belongs beside the retail lines, not on a clipboard by the workbench.
Fittings you can book
The expertise is the product. A fitting is time on a specific person's calendar, held against a customer, so a Saturday does not become three people waiting for the one member of staff who can actually do it.
Trade-in that becomes stock
A trade-in handled as a discount vanishes from the books. Received as an item with a condition and a cost, it is a used product you own, price and count — and the trade-in programme becomes something you can judge instead of something you believe in.
Buying guide: what to ask before you sign anything
Written for a sporting goods retailer comparing three proposals, including ours. Ask every one of them these questions.
- Build a team order with a roster in front of me.Twenty players, mixed sizes, individual payment. Ask what the coach sees. If the answer involves a spreadsheet you maintain, the system is not doing the job.
- Show me a service ticket from intake to collection.Technician, promised time, notification, handover. Ask what happens when the customer arrives and the item is not ready, because that is the day it matters.
- What does the system do in the two weeks the season starts?Ask about concurrent tills, queue handling and staff logins under real load, and ask to speak to a shop of your size about their first September.
- Does trade-in produce a countable item?Take one in and then sell it. If the used item never becomes stock, you cannot tell whether the programme earns.
- Can you export the club and roster history?Clubs come back every year and turnover in their committees is total. Ask for that export, on demand, in a format you can open.
- Is the hardware yours, and is it locked to one processor?The answer decides whether your next decision is a negotiation or a rip-out. Ask before you sign.
Questions sporting goods retailers actually ask
How do you collect for a team order from thirty families?
One order for the club, with a line per player carrying that player's sizes, and each family pays their own line. The coach sees who has paid without handling anyone's card, and you produce one order to the supplier rather than thirty.
Can service work and retail share a ticket?
Yes. A racket restring, a skate sharpen or a ski mount is a service line with its own turnaround and its own technician, sitting on the same ticket as anything the customer buys while they wait.
How is used gear taken in?
As a credit line with the incoming item received into stock, not as a discount. That keeps the used item countable and sellable, which is the only way to know whether the trade-in programme makes you money.
Can we keep whatever runs team orders and stringing?
Yes. Club orders, racket stringing tickets and seasonal stock stay where they run today; the deposit on a bulk kit order is the part we change. A shop mid-season should not be migrating its stock file.
