Payments for ice cream shops, from the dipping cabinet to the cake case

Your busiest hour is decided by the weather, your screen should be laid out the way the scooper looks down into the cabinet, and most of the margin is in how many scoops actually come out of a tub.

The day, end to end

What a summer counter asks of the system

Six places an ice cream shop either holds its margin or quietly gives it away.

Buttons follow the cabinet, not the alphabet

Rotate a flavour into well four and the grid has to move with it, or every new hire scrolls while the line grows.

Overrun decides your scoop count

Two tubs of the same weight do not hold the same number of scoops. Cost a cone against weight alone and the number is wrong all season.

Mix-ins are a portion, not a checkbox

A modifier that records nothing but a name cannot tell you what actually left the shop.

Cakes are dated orders

Written on a whiteboard, a Saturday cake becomes an argument. As an order it prints on the decorator list for the day it is due.

The season has an end

A shop that closes in November needs its menu, its people and its history to survive the gap and come back intact.

One line, several hands

At the peak you are three deep behind one case. Working out afterwards who sold what depends on it being captured at the moment.

Buying guide

Before you sign anything for a scoop shop

Seven questions worth asking any provider, us included.

  1. Can the button grid be reordered to match the cabinet?

Move a flavour between wells in the demo and watch what the screen does.

  2. Does inventory understand yield per tub?

Scoops out of a tub, not pounds in the freezer.

  3. Do modifiers carry a portion size?

Build a large with three mix-ins and read the ticket.

  4. Can a cake be ordered for a future date with a note?

Ask to see the decorator list for next Saturday.

  5. What happens to the menu when you close for the season?

Ask how it comes back in March.

  6. Can several scoopers share one queue and still be attributed?

Ask who the report says served the sale.

  7. What is the export when you leave?

Cake customers, recipes and the item list. Ask up front.

Questions

Ice cream shop questions we get asked most

Why should the screen layout match the dipping cabinet?

Because the scooper is reading two things at once, the well in front of them and the button on the screen, and any mismatch is paid for in seconds on every single sale. When a flavour rotates into a different well the grid should rotate with it. Alphabetical grids look tidy in a back office and cost time at the case.

How does overrun change what a scoop costs?

Overrun is the air whipped into the mix, and it decides how many scoops come out of a tub of a given weight. A dense custard and an airy base cost differently per scoop even when they cost the same per pound. If the system only knows weight, the cone with the thinnest margin looks exactly like the one with the widest.

Can cakes and pre-orders be handled without a separate book?

Yes, as dated orders with a decoration note attached and a pickup date the decorator can sort by. The whiteboard works until the Saturday it does not. What matters is that the order exists on the day it is due, inside the same system that took the payment for it.

How do you handle a shop that closes for the winter?

By keeping the menu, the staff records and the history intact through the closed months instead of tearing them down and rebuilding in spring. Seasonal shops lose more time to rebuilding the item list every March than to anything that happens in July.

Do mix-ins need to be more than a list of names?

They need a portion, because a mix-in is scooped by hand onto a cold slab and a heavy hand is the difference between a good week and a flat one. Named but unmeasured, the modifier tells you a customer wanted something and nothing about what it took to give it to them.

Talk to someone who has worked a summer case

Tell us about your shop

Four fields. A person reads it, looks at what you are running now, and comes back with what they would actually change.

The promise

We will implement whatever is right for you — including keeping what you have. If your cabinet layout works and the only gap is that the screen does not follow it, that is a button grid and a slow afternoon, not a new system.
