Hotel payments, from the check-in hold to the folio
A hotel takes a guest card three times for one stay and charges it once. Nearly every guest complaint about hotel billing is really a complaint about the two that were not charges.
What a hotel stay does to a card, in order
Read this as a sequence. Each step is a different message to the guest bank, and guests are told about exactly one of them.

The check-in authorization is a hold, not a charge
The incidental authorization at arrival reserves availability on the guest card and takes nothing, and the promise that matters operationally is that it is released promptly when the stay settles.

A long stay needs incremental authorizations
Rather than one large hold at arrival, additional authorizations are placed as the folio grows, which is both easier on the guest available credit and how the card networks expect a stay to be handled.

The folio settles once, at departure
Room, food and beverage, spa and incidentals accumulate on one folio and settle as a single transaction, so the guest statement shows one line for the stay rather than a scatter.

A no-show is a card-not-present transaction
No-show and late-cancellation charges are processed without the card in hand, which is a different risk profile and needs the reservation record and the policy the guest accepted attached to it.

The property management system is the system of record
Payments are integrated into the property management system so that the folio and the settlement never disagree, rather than run alongside it on a standalone terminal.

Group business routes to a master account
Room blocks post to a master bill while incidentals stay on the individual folio, so the organiser pays for rooms and the guest pays for the minibar without anybody sorting it out at the desk.
What to ask before changing hotel processing

Ask how quickly a hold is released after check-out
The hotel releases it; the guest bank clears it on its own schedule. Ask what the property controls and what it does not, so the desk can answer honestly.

Ask whether incremental authorizations are supported
If the answer is one large hold at arrival, expect declined incidentals mid-stay from guests whose available credit ran out.

Ask how the folio and the settlement stay in step
A standalone terminal beside the PMS is two records that will disagree, and night audit is where you find out.

Ask what evidence a no-show charge is defended with
The reservation, the policy text the guest accepted and the timestamp. If those are not stored together, the charge is hard to defend.

Ask what happens at night audit when a batch fails
The property needs a named escalation path at two in the morning, not a ticket queue that opens at nine.
