A gym does not really run on transactions, it runs on a book of recurring agreements. The number that decides whether the business works is not how many people join — it is how many stored cards quietly stop working each month, and what happens in the following week.
What actually changes at the front desk
Four things a gym owner deals with every billing run that a general-purpose terminal was never asked about.
Cards that get reissued
This is the largest single source of lost members in the vertical, and it is entirely involuntary. Account updater services keep the stored credential current, which turns a month of chasing into a run that simply works.
Recovery that reaches a person
A failed charge is the start of a process, not the end of one. Retries, a message that lands, then a named person's task. A failure that produces nothing but a gap in the ledger is how a gym loses a member it never spoke to.
Freeze and cancel are different words
Conflating them is expensive in both directions: freezing as cancellation loses a member who was coming back, and cancelling as freeze keeps charging somebody who told you to stop — which is the fastest route to a dispute and a complaint.
Packs and training you still owe
Class packs and personal-training blocks are prepaid obligations, not revenue on the day. The remaining count belongs on the member's record so the trainer, the desk and the member all read the same number, and so the liability is something you can state.
Buying guide: what to ask before you sign anything
Written for a gym owner comparing three proposals, including ours. Ask every one of them these questions.
- What is your involuntary churn number?Ask them to define it and then to show it in the reporting. A vendor who cannot name the metric has not built for it.
- Is account updater included, and for which card brands?Ask specifically. It is the highest-value item on this list and the one most often quietly absent.
- Show me the dunning sequence.How many retries, on what days, with what message, ending in whose task. Then ask to see a member's view of it.
- Cancel a membership in front of me.Then check that billing actually stopped. This is the failure that produces complaints and disputes, and it is trivially demonstrable.
- Can you export the member and agreement book?Who is on what plan, next bill date, remaining pack balances. On demand, in a format you can open, without a support ticket.
- Is the hardware yours, and is the member book portable?The answer decides whether your next decision is a negotiation or a rebuild. Ask before you sign.
Questions gym owners actually ask
What happens when a member's card is reissued?
Account updater services let the stored credential follow the new card without the member doing anything. This is the single largest cause of involuntary churn in the vertical: members who never chose to leave, lost because a bank sent out a new card.
How are failed payments recovered?
On a schedule of retries with a message the member actually receives, and a task for a human when the retries run out. A failure that produces nothing but a silent gap in the ledger is not a billing system, it is a leak.
Can a member freeze rather than cancel?
Yes, and the two must be separate actions with separate records. A freeze that is implemented as a cancellation loses the member, and a cancellation that is implemented as a freeze keeps billing somebody who told you to stop. Both mistakes are expensive, in different directions.
We already have gym software we like. Do we have to replace it?
No. If your member management works, we look at the processing behind it and leave the rest alone. Keeping what you have is a supported outcome, and we will say so on the first call.

Check what fits your business
The questionnaire asks a studio the boarding questions — recurring membership billing, recovery when a stored card fails, and cancellations handled without a dispute. A member who cancels by calling their bank instead of you is a chargeback, and preventing that is a boarding decision as much as a policy one.
Statement audit
The statement audit reads your existing statement and separates the successful recurring runs from the retries and the disputes behind them. A studio with a large member base usually finds the failures cost more than the rate does.
