Most of the money arrives before the treatment does
Packages, gift certificates and memberships mean a spa is usually holding money against work it has not yet done. That is a good business model and a genuine accounting responsibility, and the systems that handle it badly hide the size of the obligation until somebody asks.
What actually changes at the front desk
Four things a spa deals with that a general-purpose terminal was never asked about.
A package is a promise, not a sale
Six treatments bought today is one payment and six obligations. The remaining balance lives on the package so the guest knows what is left and you know what you owe. A spa that cannot state that number is carrying a liability it cannot size.
Gift certificates with identity
The most-copied document in the vertical, and often the oldest liability on your books. Issued with an identifier and a tracked balance, it can be redeemed once, partially spent, and looked up when someone arrives with a photograph of it on their phone.
Memberships that can pause
Recurring revenue is the steadiest thing a spa has and the easiest to lose through silence. A failure that raises a task gets a phone call; a failure that raises nothing becomes a churned member who never decided to leave.
Rooms and therapists booked together
Two resources, not one. A therapist without a free room is not a bookable slot, and a couples treatment needs both, twice, simultaneously. Booking systems that model only staff produce a diary that looks full and a day that does not work.
Buying guide: what to ask before you sign anything
Written for a spa owner comparing three proposals, including ours. Ask every one of them these questions.
- Show me the outstanding liability report.Unredeemed packages and certificates, as one number, today. If it does not exist, your accountant will build it by hand every year and you will not like the result.
- Redeem half a gift certificate in front of me.Then try to redeem the same one again. If nothing stops it, you have a document anybody can photograph.
- Book a couples treatment.Two therapists, one double room, one time. Ask what the diary does. This is the fastest way to find out whether rooms are modelled at all.
- What does a failed membership charge do?Ask what the guest sees, what your desk sees, and whether the schedule continues. Silence is the answer that costs you members.
- Where do treatment notes live, and who can read them?Guest notes in this vertical are personal. Ask about access control by role, not by trust, and ask for it to be demonstrated.
- Is the hardware yours, and is it locked to one processor?The answer decides whether your next decision is a negotiation or a rip-out. Ask before you sign.
Questions spa owners actually ask
Somebody buys a series of six treatments today. Is that revenue?
Not yet. It is money you hold against six treatments you owe, and it becomes revenue one visit at a time. The system tracks the remaining balance on the package so both you and the guest know exactly what is left — and so your accountant is not reconstructing it at year end.
How are gift certificates tracked?
As an outstanding balance with an identifier, not as a piece of card in a drawer. An unredeemed certificate is a liability you carry, sometimes for years, and it is also the most commonly duplicated document in the vertical.
Can memberships be billed automatically?
Yes, on an agreement the guest consented to, with a schedule they can see. A failed charge raises a task instead of silently ending the membership, and a pause is a different action from a cancellation.
We already have spa software we like. Do we have to replace it?
No. If your booking and treatment notes work, we look at the processing behind them and leave the rest alone. Keeping what you have is a supported outcome, and we will say so on the first call.

Check what fits your business
The questionnaire asks a spa the boarding questions — memberships billed on a schedule, gift cards and prepaid series carried as a liability rather than booked as revenue, and what happens when a prepaid series outlives the card that bought it. Prepaid balances are the underwriting subject here.
Statement audit
The statement audit reads your existing statement and separates the membership runs from the walk-in treatments. A spa with a large prepaid book usually finds the recurring side priced on retail assumptions.
