Childcare payments, on a tuition schedule parents can plan around
A childcare centre bills the same families every week for years, which means a payment system here is judged less on what it collects and more on how it behaves when a family is struggling.
Tuition, deposits and the third payer
Six mechanics that decide whether the office spends Monday teaching or chasing.
-
Tuition runs on a schedule, not on invoices
Weekly or monthly tuition bills automatically against a stored payment method on dates the family agreed to at enrollment, so the office is not re-sending the same invoice fifty times.
-
An enrollment deposit holds a place
What a family pays at enrollment is a place in a ratio-limited room, and the agreement states how and when it is applied or returned rather than leaving it to a later conversation. DRAFT — pending counsel
-
Subsidy is a third payer on the same account
Where an agency pays part of the tuition, both payers post to one family ledger so the balance a parent owes is a single clear number rather than a subtraction they have to trust.
-
Attendance changes the bill in defined ways only
Absence, holiday closure and a family taking a week out are handled by stated rules in the enrollment agreement, because ad hoc adjustments are how two families end up paying differently for the same thing.
-
A late-collection charge is defined in advance
Any charge for late collection is written into the enrollment agreement with the notice and the record it depends on, and it is applied consistently or it is not applied at all. DRAFT — pending counsel
-
Families need a year-end statement
Parents need a per-child annual total for their own filing, produced from the payment record rather than assembled by hand each January. DRAFT — pending counsel
What to ask before changing tuition billing
Questions from a director who has had the difficult conversation with a family.
-
Ask what a failed tuition payment does
The answer should give the office a task and a grace window. Automatic exclusion of a child is not a payment feature.
-
Ask how a subsidy payer appears on the family ledger
If the two payers live in separate systems, parents will be told a balance that is wrong at least once a term.
-
Ask which absence rules the system can actually enforce
Rules the software cannot apply become exceptions the office grants unevenly, and families compare notes.
-
Ask how a sibling arrangement is represented
One family, several children, one balance. If that is three separate accounts, the office reconciles by hand forever.
-
Ask how year-end statements are produced
From the payment record, per child, in January without a week of manual work. DRAFT — pending counsel
Questions centre directors ask
Statements about deposits or tax documents are marked draft until counsel signs them off.
Can tuition bill automatically on a schedule?
Yes, weekly or monthly against a stored payment method on dates the family agreed to at enrollment.
What happens when a tuition payment fails?
The office gets a task and a grace window. Nothing about a child attendance is automated off the back of a payment.
Can an agency pay part of the tuition?
Yes. Both payers post to one family ledger so the parent balance is a single clear number.
How are absences and closures handled?
By the rules stated in your enrollment agreement, applied consistently, rather than by case-by-case adjustments.
Can parents get a year-end total for each child?
Yes, produced from the payment records rather than assembled by hand in January. (DRAFT — pending counsel)
Two tools to run before the next enrolment
Both are open to any centre, and neither asks for parent data.
Check what fits your business
The questionnaire asks a centre the boarding questions — tuition on autopay, sibling discounts, late-pickup fees added after the fact, and what a parent sees when a scheduled payment fails. A failed autopay in a childcare setting is a conversation at the door, so it is worth designing before it happens.
Statement audit
The statement audit reads a statement you already have and separates the recurring tuition runs from the one-off charges. Centres that added autopay to an account underwritten for counter payments usually find the difference on the recurring lines.
Talk to somebody who has billed a centre
Tell us about the centre and how to reach you.
Thank you. We will book a short call at a time that works around pickup.
We will implement whatever is right for you — including keeping what you have.
